Isn't Microsoft 365 already backed up?

No. Microsoft guarantees service uptime and short-term retention, not recovery from accidental deletion, ransomware or malicious insider action. Read the shared responsibility model — protection of your data is your job. A third-party, immutable, off-tenant backup is considered best practice.

What retention options are available?

Standard retention is 30 days, 1 year, 7 years or indefinite, with per-user or per-site rules. We match retention to your regulatory or contractual obligations.

How often are backups tested?

Quarterly restore drills as standard, with a written report to you each time. Premier clients get monthly drills. A backup you have not tested is a hope, not a plan.

Where are backups stored?

UK or EU data residency, always outside the source tenancy, with immutable storage so ransomware cannot overwrite the backup set.

How quickly can you restore?

A single email or file is minutes. A whole mailbox or SharePoint site is hours. A full disaster-scenario restore has an agreed RTO per workload in your MSA.
